This checklist guides a focused weekly review to close last week’s loops, clarify priorities, and plan a realistic next week. It’s for professionals, students, and anyone who wants a habit-driven, energy-aware planning routine.

  1. Gather last week's calendar and notes — Collect digital and paper notes, calendar events, and task lists in one place.
  2. Review completed tasks — Skim what you finished; note blockers, wins, and recurring patterns.
  3. Capture unfinished tasks into your inbox — Move remaining tasks to a single capture inbox with context and the next action.
  4. Identify top 3 priorities for next week — Pick no more than three outcomes that would make next week successful.
  5. Define specific next actions for each priority — Write the immediate next step for each priority (small, specific).
  6. Estimate time and assign day/time blocks for each priority — Estimate duration and block calendar time for those actions.
  7. Review upcoming commitments and deadlines — Scan the next 2–4 weeks for meetings, travel, and deadlines that affect planning.
  8. Add buffer time and contingency — Include buffers, transition time, and contingency to prevent overload.
  9. Clear inboxes: email, messages, voicemails — Empty your inboxes into actions: reply, archive, or convert to tasks.
  10. Process emails: archive, flag, or convert to tasks — Handle short replies and convert longer items to task entries.
  11. Process messages and voicemails: reply or capture actions — Reply briefly where possible; capture follow-ups as tasks with dates.
  12. Review habit and energy trends — Note when you felt most and least energetic and what affected it.
  13. Adjust weekly routines and habit focus — Shift routines or habit targets based on energy and results.
  14. Plan self-care and recovery time — Schedule at least one rest, exercise, or downtime block for recovery.
  15. Reflect on wins and lessons learned — Write 2–3 wins and one lesson to carry forward into next week.
  16. Set a quick review reminder for next week — Add a calendar reminder to run the same weekly review next week.
