  1. Capture all tasks and commitments for today — Include meetings, deadlines, errands, and small tasks on one list.
  2. Clarify the desired outcome for each task — Write a one-line result to avoid vague tasks.
  3. Estimate time and effort for each task — Use rough minutes or hours so you can schedule accurately.
  4. Sort tasks using the Eisenhower matrix — Group by urgent vs important to decide action type.
  5. Assign urgent and important tasks (Do first) — Tasks that require immediate action and have high impact.
  6. Assign important but not urgent tasks (Schedule) — Plan time for these to prevent future crises.
  7. Assign urgent but not important tasks (Delegate or limit) — Find someone to delegate or set a strict time limit.
  8. Mark not urgent and not important tasks to delete or defer — Remove low-value items or add them to a 'someday' list.
  9. Choose 1–3 Most Important Tasks (MITs) for the day — Pick tasks that move the needle toward your goals.
  10. Time-block the MITs into your calendar — Allocate uninterrupted slots and protect them like meetings.
  11. Batch similar smaller tasks together — Group email, calls, and admin to reduce context switching.
  12. Delegate tasks that others can do — Assign clear outcomes and deadlines when delegating.
  13. Schedule short tasks into quick slots — Use 5–15 minute pockets for chores or tiny actions.
  14. Set a timer or use Pomodoro for focused work — Work in 25–50 minute blocks with short breaks.
  15. Add buffer time between time blocks — Include 10–20 minutes to handle overruns and transitions.
  16. Review progress mid-day and adjust priorities — Reassign or reschedule tasks based on what's changed.
  17. Do an end-of-day review and move unfinished tasks — Log what was done, defer or replan unfinished items for tomorrow.
